Google introduces a new storage policy - 

In the past Google offered unlimited storage to schools and universities for free.  However, in July of 2022, Google changed this policy and began imposing limitations on schools and universities. These limitations were initiated on our school's Google domain in January 2023. The new storage model provides schools and universities with a baseline of 100TB of pooled cloud storage shared across all of your users. This is more than enough storage for over 100 million docs, 8 million presentations or 400,000 hours of video.

Teachers, students and other staff are placed in organizational units (OU) within Google's admin console.  Each OU has been assigned storage space limits. These limits are based on the current average usage by the users in each OU and should be of adequate size for the vast majority of our users.  Teachers have been assigned more storage space than students for example.   If you are nearing the quota on your storage and are unable to free up space, notify the Technology Services Department and request additional space be allocated to your account.  Additional space may be allocated based on need and availability. 

How can you help manage your drive space?

  1. To see how much space you have left, on a computer, go to google.com/settings/storage
  2. To review and delete large or unnecessary files in Drive, go to https://drive.google.com/drive/quota.
  3. To review and delete large or unnecessary files in shared drives, go to https://drive.google.com/drive/shared-drives.
  4. One consideration is to delete Google Drive content that you may have copied to a shared drive.  If a file resides in 2 locations, it may be consuming twice the storage space.
  5. To search for and delete unnecessary or large emails, go to Manage files in your Google Drive storage and follow the instructions for Gmail under the "manage your storage space" section (i.e. "Permanently delete large emails in Google")
  6. Additionally, the Google Takeout Tool may be helpful when migrating data off your account to another Google account: https://takeout.google.com 

Additional information regarding Google drive space -

  • If your account is inactive in one or more of these services for two years (24 months), Google may delete the content in the product(s) in which you're inactive.
  • Similarly, if you're over your storage limit for two years, Google may delete your content across Gmail, Drive and Photos.
  • GMAIL: If your account exceeds the space limitation - you can’t send or receive messages. Messages sent to you are returned to the sender.
  • If the user's account exceeds the space limitation then the user can’t sync or upload new files. The user can’t create new files in Google Docs, Sheets, Slides, Drawings, Forms, and Jamboard. Until the person reduces the amount of storage in use, neither the account user nor anyone else can edit or copy your affected files. Syncs stop between the computer's Google Drive folder and My Drive.
